A print problem often starts long before anything reaches the printing press.
The artwork might be the wrong size. A photograph may be too small. Text can sit dangerously close to a cut line. Or a bright RGB color may be impossible to reproduce exactly with the inks being used.
Preparing a print-ready file is mostly about removing those surprises.
And the first rule is simple: get the printer’s specifications before finishing the design.
Start at the Final Size
Designing a 2-inch label and then enlarging it to 8 inches can create problems, especially when the file contains raster artwork.
Set the document to the intended finished dimensions early.
Vector artwork can scale cleanly, but photographs and other raster images have a fixed amount of pixel information.
If the print dimensions change substantially, check the effective image resolution again.
Understand Bleed
Any background that is supposed to reach the edge of a printed piece should normally continue past the final cut line.
That extra image area is called bleed.
Why is it needed?
Because printing and cutting involve small manufacturing tolerances. If the artwork stops exactly at the trim line, a tiny cutting variation can leave an unwanted white edge.
The exact bleed requirement depends on the printer and product.
Do not assume a single measurement works for everything. Business cards, stickers, packaging, banners, and booklets can use different production requirements.
Keep Important Content Inside
Bleed handles artwork outside the trim.
A safe area handles important artwork inside it.
Avoid placing small text, logos, QR codes, borders, or other critical elements directly against a cut edge.
You want normal production variation to be invisible.
Borders deserve extra attention because even a small shift becomes visually obvious when the border is supposed to remain equal on every side.
Check Image Resolution
Low-resolution images do not become sharper because they were exported into a PDF.
Look at the image at its intended print size.
For many conventional print projects, 300 pixels per inch is a useful target for photographic artwork, although actual requirements vary with the printing method and viewing distance.
A billboard does not require the same effective resolution as a product label viewed from six inches away.
And increasing the DPI number in an image editor without adding real image detail does not magically restore information that was never there.
Understand RGB and CMYK
Screens create color with red, green, and blue light.
Conventional process printing commonly uses cyan, magenta, yellow, and black ink.
Those color systems do not reproduce an identical range of colors.
A very bright RGB blue, green, or neon-looking shade on your monitor can change when converted for print.
That does not mean every designer should blindly convert every file to CMYK.
Modern print workflows differ. Some printers prefer an RGB file because their RIP software performs the color conversion for the exact output device.
Ask the printer what they want.
If color is especially important, request a physical proof or printed sample instead of judging the result from an uncalibrated monitor.
Check Fonts and Linked Images
Missing fonts can change the entire layout.
So can a missing linked image.
Before exporting, verify that all links are current and all fonts are available.
For final production PDFs, fonts can often be embedded or appropriately converted as part of the export workflow.
Keep an editable original file even if you convert text to outlines for production. You may need to change a name, price, date, or spelling later.
Export a Print-Ready PDF
PDF is commonly used because it can package the layout into a stable file for production.
But not every PDF is automatically print ready.
Before exporting, check:
- document size
- bleed
- image resolution
- color settings
- fonts
- transparency
- linked artwork
- printer marks if requested
Adobe’s current print-ready PDF guidance also recommends checking links, fonts, bleed, margins, color suitability, and preflight errors before export.
Read the Proof
A proof is your final opportunity to catch something inexpensive.
After printing, the same mistake becomes much more annoying.
Check every word.
Check the final size.
Look for clipping.
Confirm orientation.
Inspect borders and cut lines.
Make sure the correct file version was used.
It is surprisingly easy to spend several minutes evaluating color while overlooking a phone number that is missing a digit.
